When sending identical emails to multiple recipients, such as members, customers, or partners, we have the technical ability to see if the recipients have opened the email and clicked on links. This involves the collection and processing of personal data about the recipients. However, we only use the information for statistical purposes to optimize our communication with the outside world.

Members
If you are a member, you receive this type of email because it contains important information for you as a member of Koda. This may be about Koda's member democracy, your works, or your settlements. If you are a new member, it could also be an email alerting you to how to register works. This information is part of Koda's obligations when you have given Koda the right to manage your rights. It is in accordance with the General Data Protection Regulation, GDPR, Article 6(1)(b) and (c), in accordance with the law on collective management § 19, subsection 1, no. 2 and §§ 15-16.
Customers
If you are a customer, you receive this type of email because it contains important information for you as a customer at Koda, or because you are likely to host an event where you need permission to use the music. You can do so with an agreement with Koda – which also covers Gramex if you want to use pre-recorded music. Both Koda and Gramex are approved by the Ministry of Culture according to the Copyright Act. This is in accordance with the General Data Protection Regulation, GDPR, Article 6(1)(e), in conjunction with Copyright Act § 75a.
Partners
If you are a partner, you will receive this type of email as part of Koda's communication and relationship efforts. We have your email address from official sources or from previous business correspondence. This is in accordance with the General Data Protection Regulation, GDPR, Article 6(1)(f) – a legitimate interest.
Koda does not disclose your information to third parties, except to our data processor with whom we have a data processing agreement.
Koda is the data controller responsible for handling your personal information. You have the right to request Koda to provide access to and correction or deletion of your data, the right to restrict and to object to processing, and the right to receive a copy of your data in a structured, commonly used, and machine-readable format.
Koda stores information about which newsletters you receive including statistics on the use of the email for five calendar years from the sending of each email. Thereafter, the information is only stored in an anonymized form.
You can file a complaint about Koda's handling of your data with the Data Protection Authority.
