When a music publishing company is privately owned, the information about the publishing company is personally identifiable. Information is 'personally identifiable' when it can be linked to a specific individual. If you personally own your music publishing company, data protection regulations require Koda to inform you that Koda is responsible for handling your member data. Koda processes data about you to fulfill the membership declaration, where you have given Koda the mandate to look after your interests as a rights holder to music and associated lyrics. Unless otherwise stated, the mentioned data are all necessary for Koda to look after your interests and to both provide you with the payment you are entitled to for the use of your music and associated lyrics, and to enable you to exercise your rights as a member of the Koda association.
Kodas has the right to process your personal data in accordance with Article 6(1)(b) of the General Data Protection Regulation.
Under the data protection regulations, you have the right to request Koda to provide access to and rectification or deletion of your data, the right to restrict and to object to processing, as well as the right to data portability, i.e., the right to receive a 'package' of your data, which you can use for rights management other than with Koda. However, consideration for Koda's legal obligation to document its operations and for optimal management of others' rights may limit your right to deletion and restriction of processing.
You can file a complaint about Koda's handling of your data with the Data Protection Authority.
Are you a contact person for a music publisher?
When you are the contact person for a music publishing company that is a member of Koda, Koda handles information about your person.
We will therefore handle your name, position, work address, work phone number, and work email.
During the membership relationship, Koda may take notes on the case, which help us provide you with the best possible service – for example, by trying to prevent you from having to tell the same story twice because you are contacted by two different employees.
The code is the data controller
According to data protection regulations, we must inform you that Koda is the data controller for handling your personal information as a contact person for a music publishing company in Koda. Koda needs some data about you for secure identification of the membership relation and for ongoing collaboration. This is referred to in the data protection regulations as a 'legitimate interest'. You have the right to request Koda to provide access to and to amend or delete data about you. You also have the right to restrict data and to object to data processing. The rules also grant you the right to data portability, i.e., the right to receive a copy of your data that you can 'take with you', although this will very rarely make sense in this context. Consideration for Koda's legal obligation to document its business and for optimal management of the rights we are set to manage may limit your right to deletion and restriction of processing.

As a general rule, Koda will retain information about you for up to five years after your relationship with Koda has ended.
